Who we are
HoopSketch operates a basketball coaching service from California, United States. This policy explains how we handle information when you use our website, play designer, coaching resources, and account features. Some features may be available only in a preview or on selected plans.
Information you provide
When account features are available, we collect your email address, name, authentication information, optional coach-profile preferences and profile photo, and the team details and coaching work you choose to save. Uploaded profile photos are converted into small thumbnails; we do not retain the original upload. Age-group preferences help initialize coaching requests, and saved game-style preferences help us assess interest in additional formats. Passwords are stored as hashes, not readable passwords. Plays, teaching notes, playbooks, and support messages may contain information you enter.
Browser-only saves stay in that browser until you choose to transfer, share, or save them to an account. Clearing browser storage can remove them. Account saves are stored on our servers so you can access them in later sessions.
AI requests and operational records
When you request AI generation or refinement, we send your coaching request and the relevant play context to the model providers needed to produce the result. Avoid entering player names, contact details, medical information, or other unnecessary personal information in a prompt.
We use request and result records to enforce usage allowances, investigate failures, improve play quality, and provide support. These can include your account identifier, prompt, before-and-after play content, request outcome, model, timing, token usage, and cost when those fields are recorded. Authorized administrators can inspect these operational records. These operational records are separate from website analytics and are not sent to PostHog or Google Analytics as analytics events. PostHog session replay can record visible play diagrams and page content as described below; form values remain masked.
Website analytics and browser storage
We use PostHog and Google Analytics to understand page visits, feature use, browser/device types, and reliability. Online identifiers and technical information, including IP addresses processed by service providers, may be personal information even when your name is not attached.
HoopSketch uses PostHog session replay to understand navigation, scrolling, and interactions. Replay records the visible interface and court diagrams so we can understand the experience. Form values and marked account details are masked; admin screens, personal images, and uploaded media are blocked. Console logs and network payloads are not recorded. Our tracking code removes query strings and URL fragments. Automatic form capture remains off, and coaching text, play contents, invitation credentials, and form values are excluded from analytics events.
For signed-in accounts, we also keep first-party counts of visits, export requests, and copied play links for product support and administration. These optional events respect the same analytics preference and Do Not Track. They contain no page URLs, IP addresses, play contents, or coaching text. Successful login timestamps and saved-work or AI records are operational records kept separately.
Our analytics integration respects Do Not Track and the choice on our Analytics preferences page. That browser preference must be set separately on each browser or device and can be removed when cookies or site storage are cleared. Essential session and security storage is used separately from optional analytics.
Connector referrals
When you follow a connector link, we use a first-party cookie lasting up to 30 days to remember the public link name and a random browser identifier. We count link visits and associate qualifying signups and subsequent invoice payments with that connector. Authorized administrators can see these reports and the private contact details supplied for connectors. This feature does not send contact emails or publish a list of referred coaches.
Referral tracking honors the Analytics preferences opt-out, Do Not Track, and Global Privacy Control signals sent with requests. Browser identifiers can change when cookies expire, storage is cleared, or you change devices. Account-level referral and payment records already recorded remain part of our historical reporting.
How we use information
We use information to operate and secure the service; authenticate accounts; save coaching work; process requested AI actions and exports; administer plans and payments; respond to support and privacy requests; send essential account messages; and understand and improve the service.
Service providers and payments
We use service providers for hosting, data storage, AI processing, analytics, payment processing, and account email. The current integrations include Vercel, Neon for account storage, OpenRouter and the model providers selected for a request, PostHog, Google Analytics, Stripe for enabled checkout, and Resend for enabled account email. A feature uses its provider only when that feature is enabled.
Stripe handles payment-card information through its checkout and payment-management interfaces. We receive subscription, payment-status, and customer references needed to administer access; we do not store full payment-card numbers.
When Google Drive connections are enabled, you may choose to connect an account to export play images. We request access only to files created or chosen through HoopSketch, and store encrypted authorization credentials to complete your exports. We do not browse your Drive, import existing files, or use Google Drive data for advertising or AI training. Disconnect from Account to remove the local connection; you can also revoke access in your Google Account. Previously exported files stay in your Drive. Google sign-in is a separate feature and is not currently provided. Information may be processed in the United States and other locations where our providers operate.
Sharing and ownership
You retain ownership of the coaching content you create. When you export or share it, the people receiving the file or link may keep or forward a copy. Anyone holding a shared-play link can read the play included in that link. Only share information you are authorized to disclose.
We do not sell or rent personal information, or share it for third-party marketing or cross-context behavioral advertising. We disclose information to service providers as needed to operate the service, when required by law, or to protect the service and its users.
Adults and youth-team information
Accounts are intended for adult coaches and organizers who are at least 18 or the age of majority where they live. Children should not create accounts. Coaches are responsible for having appropriate permission before including another person’s information in coaching work or shared materials.
The current team form does not require a player roster. Use anonymous player numbers where practical, and do not submit children’s sensitive information. Contact us if you believe a child has created an account or personal information has been provided improperly.
Retention and deletion
We retain account and coaching information while your account is active and as needed to operate the service. You can request access, correction, or deletion using the privacy contact below. We may need to verify that the request concerns your account.
We aim to remove an account and associated active-service data within 30 days of a verified deletion request. Some records may need to be retained for payment, legal, fraud-prevention, or security reasons; backup copies may remain until replaced under the applicable backup cycle. Copies other people have received through your sharing are outside our control. Browser-only copies must also be removed from your own browser.
Your choices and rights
You can change your optional analytics choice, manage your saved work, and contact us about access, correction, deletion, or a copy of your information. Depending on where you live and the law that applies, you may have additional privacy rights. We do not discriminate against you for exercising applicable privacy rights.
California residents may have rights concerning information collected, correction and deletion, and sale or sharing where California privacy law applies. Nothing in this policy limits rights that applicable law gives you.
Security and policy updates
We use encrypted connections, access controls, and secure session handling to protect information. No service can guarantee absolute security. We will update the date on this page when the policy changes and provide additional notice when required.
